Terms and Conditions

Landlord Property Certificates

1. Introduction

Thank you for visiting Landlord Property Certificates. These Terms and Conditions set out the rules governing the use of our website and the services, enquiries and bookings made through our business.

By contacting us, requesting a service, confirming a booking, accepting a quotation or proceeding with any work arranged through Landlord Property Certificates, you confirm that you have read and agreed to these Terms.

We recommend that all customers review these conditions before placing an order or confirming an appointment.

2. About Landlord Property Certificates and Our Contractors

Landlord Property Certificates is a company registered in the United Kingdom, providing property compliance, marketing, booking and lead generation services.

We work with a network of experienced engineers, inspectors, assessors and specialist contractors who undertake the services requested by our customers.

Depending on the type of service, the professionals carrying out the work may hold relevant qualifications, registrations or memberships with recognised regulatory and professional organisations, including:

  • NICEIC

  • NAPIT

  • Gas Safe Register

  • Institute of Fire Safety Managers

  • Other applicable professional or industry organisations.

The relevant qualifications and registrations will vary depending on the service being provided. Not all listed organisations or accreditations apply to every Contractor or type of work.

Unless specifically confirmed otherwise, some professionals attending a property may be engaged as independent contractors and not as direct employees of Landlord Property Certificates.

3. Our Role and Responsibilities

Landlord Property Certificates assists customers in arranging a range of property compliance, inspection, certification, maintenance and related services.

Our involvement may include managing customer enquiries, issuing quotations, arranging appointments, confirming bookings, coordinating with Contractors, handling payments and providing general administrative assistance.

Depending on the nature of the booking, the technical work itself may be undertaken by an appropriately qualified engineer, inspector, assessor or independent Contractor.

Where a service requires specific professional qualifications, registration or accreditation, the person undertaking that particular work must meet the relevant requirements applicable to the service.

4. Services Available

Landlord Property Certificates arranges a variety of property related services, which may include:

  • Fire Risk Assessments (FRA).

  • Electrical Installation Condition Reports (EICR).

  • Gas Safety Certificates (CP12).

  • Energy Performance Certificates (EPC).

  • Portable Appliance Testing (PAT).

  • Fire alarm inspections, Installation and Certificate.

  • Emergency lighting Installation and Certificate.

  • Boiler servicing, repairs and installations.

  • Electrician Services.

  • Plumbing and General maintenance.

  • Painting, decorating and property refurbishment.

  • Kitchen and bathroom refurbishment.

The work included in a booking will be determined by the service requested and the details confirmed in the relevant quotation or booking confirmation.

Any additional work identified during an inspection or visit will be treated separately unless it has already been included in the agreed price.

5. Bookings and Information Provided by Customers

When requesting a service, customers must ensure that all information supplied to Landlord Property Certificates is accurate and complete.

This includes the property address, contact details, type of property, requested service and any other information that could affect the work or appointment.

Customers must also arrange suitable access to the property and ensure that the Contractor can safely reach the areas and equipment required for the inspection or service.

If the work cannot be completed because access has not been arranged, the information supplied is incorrect, the tenant or customer is unavailable, or conditions at the property prevent the Contractor from proceeding, an additional visit or attendance charge may be necessary.

We make every reasonable effort to attend within the agreed appointment window. However, delays can occasionally occur due to traffic, earlier jobs, emergency callouts or other unexpected circumstances beyond our control.

6. Pricing and Payment Terms

All prices advertised or quoted by Landlord Property Certificates are based on the service requested and the property information supplied by the customer.

The final price may need to be adjusted if the actual property conditions or requirements differ from those originally described.

Additional charges may apply where there are differences in the number of appliances, circuits, alarms, floors, units or other items requiring inspection or work.

Customers may pay using the payment options made available by Landlord Property Certificates, which may include bank transfers or payment directly at the property where agreed.

Any repairs, replacements, installations or remedial work identified during an inspection will normally be priced separately unless included in the original quotation.

7. Appointment Cancellation Policy

We appreciate that plans can change and customers may sometimes need to cancel or rearrange a confirmed appointment.

Our standard cancellation charges are based on the notice received before the scheduled appointment:

  • 72 hours or more: No cancellation charge.

  • 48 hours: £30 cancellation charge.

  • 48 to 24 hours: £50 cancellation charge.

  • Less than 24 hours or cancellation on the appointment day: £60 cancellation charge.

If the Contractor arrives at the property but cannot gain access, the customer or occupier is unavailable, or the booked work cannot reasonably proceed, the situation may be treated as a same day cancellation and the relevant charge may apply.

Customers are encouraged to notify Landlord Property Certificates as early as possible if they wish to cancel or change an appointment.

These charges are subject to applicable consumer legislation and do not override any statutory cancellation rights available to customers.

8. Refund Policy

Where a Contractor arranged through Landlord Property Certificates does not attend the confirmed appointment and no work has been undertaken, the customer will be eligible for a refund of the payment made for the affected service, unless another arrangement has been agreed.

Where the service has already been carried out in full or in part, a complete refund will not generally be provided.

If only some of the agreed work has been completed, the refund amount, where applicable, will be determined by considering the work already performed and the remaining services that have not been delivered.

Any approved refund will normally be processed within 8-10 days. However, the time required for the money to reach the customer’s account may vary depending on the bank, card provider or payment processor.

All refunds remain subject to the customer’s statutory rights under applicable UK consumer legislation.

9. Inspection Reports, Certificates and Additional Work

Booking an inspection or assessment does not mean that the property or installation will automatically receive a satisfactory result.

Any report or certificate issued will represent the condition of the relevant property, equipment or installation at the time the inspection takes place. Findings will be based on the areas and equipment that the inspecting professional can reasonably access and examine.

If faults, safety concerns, defects or regulatory non-compliances are discovered, these may be recorded in the relevant report and further work may be recommended or required.

Unless agreed as part of the original booking, any necessary repairs or remedial work will be subject to a separate quotation.

Customers remain responsible for the inspection fee regardless of whether the property receives a satisfactory or unsatisfactory outcome.

10. Contractor Qualifications and Professional Registrations

Landlord Property Certificates aims to appoint professionals who have suitable experience, qualifications and technical competence for the services they undertake.

Depending on the work involved, Contractors may be registered with or affiliated to organisations such as NICEIC, NAPIT, Gas Safe Register, IFSM or other relevant professional bodies.

Such registrations and memberships are held by the relevant individual or contracting business and should not be understood as registrations held by Landlord Property Certificates itself.

The applicable qualifications and registrations will depend on the nature of the service being provided.

Where reasonably requested, Landlord Property Certificates may provide information about the professional or Contractor allocated to carry out the customer’s work.

11. Customer Obligations

Customers are expected to cooperate with Landlord Property Certificates and the allocated Contractor to ensure that the booked service can be completed properly.

This includes providing correct property information, arranging access, obtaining any necessary permissions and notifying us of known risks or hazards at the property.

Where a booking is made on behalf of a landlord, property owner or occupier, the person making the booking must ensure that they have the necessary authority to arrange the requested work and permit access.

12. Limitation of Liability

Nothing within these Terms is intended to exclude or restrict any liability that cannot legally be excluded under applicable law.

This includes liability arising from death or personal injury caused by negligence, fraud, fraudulent misrepresentation or any other liability that UK law does not permit businesses to exclude.

To the extent permitted by law, Landlord Property Certificates shall not be liable for indirect or consequential losses that could not reasonably have been anticipated when the customer made the booking.

Where technical services are undertaken by an independent Contractor, responsibility for the professional standard and technical execution of that work rests with the relevant Contractor, subject to applicable legal obligations and any responsibilities that LPC may have under the customer’s agreement or relevant legislation.

Nothing in this section affects any statutory rights available to customers.

13. Intellectual Property Rights

All original materials and content appearing on the Landlord Property Certificates website and other our owned platforms are protected by applicable intellectual property legislation.

This includes our company name, logos, branding, written content, graphics, website design, layout and other original materials.

No person may reproduce, copy, distribute, publish or use these materials for commercial purposes without obtaining prior written consent from Landlord Property Certificates, except where such use is permitted by law.

14. External Websites and Third-Party Services

Our website may provide access to external websites, and services operated by third parties.

These links may be provided for convenience or additional information.

LPC does not manage or control external websites and therefore cannot accept responsibility for their content, availability, security or privacy policies.

Customers who access third-party services should review the relevant provider’s own terms and conditions before using them.

15. Appointment Amendments and Unforeseen Events

There may be occasions when Landlord Property Certificates or an allocated Contractor needs to change a previously confirmed appointment.

Such changes may arise due to illness, unexpected emergencies, vehicle or travel problems, safety issues or other events that cannot reasonably be anticipated or avoided.

If an appointment needs to be changed, we will make reasonable efforts to inform the customer and offer an alternative date or time.

Where Landlord Property Certificates cannot deliver the booked service and no work has taken place, customers may request a refund in accordance with the Refund Policy and their applicable statutory rights.

16. Customer Complaints

Landlord Property Certificates aims to maintain a professional standard of service and deal with customer concerns fairly and promptly.

Customers who are unhappy with any service arranged through Landlord Property Certificates should contact us at the earliest reasonable opportunity and provide sufficient details for the matter to be reviewed.

We will assess the complaint and, where necessary, communicate with the relevant Contractor to investigate the circumstances.

Customers should allow Landlord Property Certificates a reasonable opportunity to examine the issue and, where appropriate, arrange a suitable resolution before instructing another company to carry out corrective work.

This does not prevent customers from taking urgent action where necessary to protect health, safety or property, or from exercising their legal rights.

17. Privacy and Protection of Personal Information

Landlord Property Certificates takes the handling of customer information seriously.

Personal details submitted through our website, enquiry forms, booking systems or other communication channels will be processed in accordance with our Privacy Policy and applicable UK data protection laws.

To arrange and complete a booking, certain customer and property details may need to be shared with the Contractor assigned to the service or with relevant third-party providers involved in administration and payment processing.

Further information about how personal data is collected, used and protected is available in our Privacy Policy.

18. Amendments to These Terms and Conditions

Landlord Property Certificates may revise or update these Terms and Conditions when necessary.

Any revised version will be published on our website, together with the date on which the updated Terms take effect.

Unless otherwise required by law, the Terms applicable to a booking will generally be the version published and in force when that booking was made.

19. Applicable Law

These Terms and Conditions shall be interpreted and governed in accordance with the laws of England and Wales.

Any legal proceedings or disputes arising from these Terms will be dealt with by the courts that have jurisdiction under applicable law.

Nothing in this section is intended to take away any mandatory consumer protection or legal rights available to customers.
